Vacancy: Receptionist

Introduction:

One of our clients in Kempton Park is  seeking a professional and welcoming Receptionist to join their team. As the first point of contact for the company, you will play a vital role in creating a positive impression for all visitors, customers, and employees. This position requires excellent communication skills, a proactive attitude, and the ability to manage multiple responsibilities in a dynamic environment. Job Purpose:

To manage the reception area, provide excellent customer service to visitors and callers, handle administrative tasks, and ensure the smooth operation of front-office activities while maintaining a professional and tidy environment that reflects the company’s image. 

REQUIREMENTS

Minimum education (essential):

  • National Senior Certificate (Matric)

Minimum education (desirable):

  • Certificate in Business Administration, Office Administration, Secretarial Studies, or equivalent

Minimum applicable experience (years):

  • 2-4 years

 

Required nature of experience:

  • Receptionist or front-office duties
  • Customer service and visitor management
  • Switchboard operation and general administrative support

Skills and Knowledge (essential):

  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize effectively
  • Basic technical troubleshooting (e.g., switchboard or AV equipment)
  • Proficiency in maintaining a professional and organized workspace

Other:

  • Must be bilingual (proficient in Afrikaans and English)
  • Must reside in the Kempton Park / Benoni area

KEY PERFORMANCE AREAS

Visitor and Customer Management

  • Welcoming and receiving all customers and visitors, addressing their visitation requirements promptly and professionally.
  • Attending to walk-in customers and guests for meetings and corporate events with efficiency and courtesy.
  • Responding to customer or employee queries and requests for general information and support.
  • Ensuring a positive and professional first impression for all visitors.

Switchboard and Communication

  • Administering the switchboard, forwarding calls, taking messages, and assisting callers as required.
  • Logging technical issues with the switchboard or branch office extensions and ensuring swift resolution.
  • Providing clear and accurate communication to internal and external stakeholders.
  • Maintaining a helpful and approachable demeanour during all interactions.

Maintenance of Reception and Meeting Areas

  • Keeping the reception, display areas, meeting rooms, and boardrooms tidy, clean, and professional at all times.
  • Ensuring meeting rooms are cleared and cleaned by the end of each day for use the following day.
  • Monitoring and maintaining the correct functioning and setup of audio-visual and computer equipment in meeting rooms.
  • Reporting any maintenance or equipment issues promptly.

Professional Image and Conduct

  • Maintaining a neat, professional, and clean appearance as the "face" of the company.
  • Upholding company values and standards in all interactions with visitors, customers, and staff.
  • Ensuring personal presentation aligns with the company’s professional image.
  • Contributing to a welcoming and positive office environment.

Administrative Support

  • Assisting with general administrative tasks as required by the role.
  • Coordinating with relevant departments to resolve technical or logistical issues.
  • Keeping accurate logs of calls, messages, and visitor interactions.
  • Supporting corporate events or meetings with logistical arrangements as needed.
