Financial Administrator

An agricultural commodity trading company in Pretoria East is looking for a detail-oriented, and pedantic Bookkeeper to join their dynamic team.
 

Job Purpose

The person will be the administrative backbone of a commodity trading desk, ensuring all buying and selling contracts are handled accurately and efficiently from start to finish. This includes tasks like managing paperwork, data entry, communication with clients and suppliers, and resolving discrepancies.

Minimum qualifications (essential):

  • National Senior Certificate
  • Diploma or Degree in Accounting or Finance

Minimum qualifications (desirable):

  • BCom Accounting

 

Required experience (years):

  • 2-4 years

 

Required nature of experience:

  • Proficiency in Pastel Partner and Microsoft Office
  • String attention to detail and accuracy
  • Good communication and interpersonal skills
  • Ability to prioritise and manage multiple tasks

 

Skills and knowledge:

  • Pastel – SAGE Accounting
  • Solid understanding of accounting and accounting software principles
  • Computer literate with excellent MS Office skills, especially Excel.

 

Other:

  • Working hours: Monday to Friday, 07h30-16h30
  • Own transport

 

Key Responsibilities

  • Contract Administration: Managing all aspects of buying and selling contracts, from initiation to completion (e.g., billing, booking transactions, tracking transport schedules).
  • Data Management: Entering and maintaining accurate commodity movements data in the system, reconciling contracts, and investigating/resolving stock differences.
  • Client and Supplier Communication: Resolving client and supplier inquiries promptly and ensuring settlements are completed according to contract terms.
  • Administrative Duties: Performing all administrative tasks related to trade administration (e.g., filing, maintaining records).
  • Software Proficiency: Using Pastel software and being proficient in Microsoft Excel and other Office tools.
  • Team Management: Overseeing and mentoring junior administrative staff to ensure smooth daily operations and adherence to processes.
  • Process Improvement: Identifying opportunities for process improvements in trade and contract administration, implementing solutions to enhance efficiency and reduce errors.
  • Reporting: Managing the preparation of financial reports, including tracking and reporting commodity movements, discrepancies, and contract status.
  • Training and Development: Providing training to new team members on administrative procedures, software usage, and best practices.
